Marketing Admin & Event Coordinator
We are seeking a highly organized and detail-oriented Marketing Admin & Events Coordinator to join our team. This role is responsible for supporting the marketing and business development teams with day-to-day administrative tasks, event planning, campaign coordination, and data management to ensure smooth execution of marketing initiatives. The Marketing Administrator will serve as a central point of contact for internal teams, vendors, and external partners to help drive efficiency and consistency across all marketing activities. The position requires a creative thinker who can effectively manage multiple projects simultaneously, demonstrates exceptional negotiation and communication skills, is personable and approachable, easily forms positive relationships – team player is a must!
Key Responsibilities
- Provide administrative support to the marketing and business development teams, to schedule industry, nonprofit and internal events, including company leased suite(s) and entertainment venues.
- Works with business development and the sales team to fill the Honda Center suite with key clients and stakeholders. Maintains the scheduling spreadsheet, F&B orders, and coordinates all pre and post-event follow-up.
- Responsible for administrating the relationship and deadlines associated with trade, industry, and vendor-sponsored events and activities; calendaring attendance by the sales team with support from the marketing team.
- Coordinate/order collateral and apparel for events
- Calendar and coordinate Cause marketing related events
- Post event reporting and follow up
- Preparing reports, and managing project timelines.
- Assist in the coordination and execution of marketing campaigns, events, and promotional activities.
- Maintain marketing databases, contact lists, and CRM records
- Help track campaign performance and prepare performance reports and dashboards.
- Assist with vendor and agency communications, purchase orders, and tracking invoices
- Monitor and maintain inventory of marketing materials and promotional items.
- Conduct basic market research and competitor analysis as needed.
- Must possess strong organizational, follow-through, and deadline management skills; be able to anticipate details; work quickly in a constantly changing environment
- Must be proficient in Microsoft Office, and diligent in managing calendars for several employees
- Must have strong writing skills
- Must thrive in an environment with constant change, that is high energy and visionary

- HOA industry experience is a plus
Requirements:
Education and/or Experience:
- 5+ years of administrative, marketing, or project coordination experience preferred.
- Excellent verbal and written communication skills. Bi-lingual (Spanish) is desirable but not required
- Proficiency with computers and software that include MS Word, Excel, PowerPoint, Outlook, Salesforce, OneNote, and MailChimp
- Ability to work with communication tools including modern office technology, printers, copiers, and other related office machinery
